Information requested
- The breakdown of employees by job title within each Directorate or their Full Time Equivalent.
- Any recorded information which sets out the organisational charts or hierarchical structures outlining the current reporting lines and job roles within each Directorate.
- Any recorded Information setting out changes or updates to the employee structure made within the previous 12 months.

I enclose a copy of the information you requested in the attached excel spreadsheet as requested.
Table 1 provides a “snapshot” of all directly employed staff as at 31 December 2023. The data includes job title, grade, organisational area and FTE - providing the information requested of employees job title and hierarchical structure.
The data has been shared in this format because of the nature of job title information. This is a user entry field and often relates to a specific role. Of the 9,200 staff in the Scottish government there are over 5,000 unique job titles.
The data has been extracted from Scottish governments HR systems and is in line with the latest published official workforce statistics. The HR system is an administrative database. As such, it is continually updated when workers join and leave the Scottish Government and personal details change. As with any large scale administration system, it may be subject to errors with data entry and processing, and short delays in processing changes to the data. Therefore there is a possibility that there may be out of date data or errors presented, as the “snapshot” may be taken at a point before records are updated or corrected. We are currently in the process of mapping roles to professions and replacing our HR administrative systems. This process of replacing our systems has limited the number of organisational changes made in the HR system which may also have an impact on the quality of data presented.
Table 2 provides details of organisational structure changes since January 2023.
