Information relating to Community Justice Scotland (CJS) contracts for the provision of multi-functional devices (MFDs). The information you are seeking is, as follows:

1. How many contracts for MFDs do Community Justice Scotland have and what is the award value for each?

2. When do these contracts expire and do they have any extensions?

3. What is the annual volumetric data (split by Annual Mono and Annual Colour print)?

3. What Print Management Software solution do you and/or Community Justice Scotland use?

4. What document management solution do you use?

5. What framework was used to procure this contract for MFD(s) at Community Justice Scotland?

6. Any documentation you can provide me with, e.g. the order form?

7. What department is managing the contract and who is the decision-maker?

8. What is the annual cost?

9. When is the renewal date?

Question one: How many contracts for MFDs do Community Justice Scotland have and what is the award value for each?

Scottish Government response to Question One: Community Justice Scotland entered into a Shared Services agreement with the Scottish Government when it was first established in 2017. We understand this included the printing services relating to one multi functional Ricoh device. We do not know if this has since changed as the ongoing handling of this procurement is a matter for Community Justice Scotland and Ricoh.

2nd Question three: What Print Management Software solution do you and/or Community Justice Scotland use?

Scottish Government response to the 2nd Question three: If Secure Printing is utilised via Ricoh, we understand the software solution utilised is Kofax ControlSuite,

Question five: What framework was used to procure this contract for MFD(s) at Community Justice Scotland?

Scottish Government response to Question five: Goods/services are procured using Scottish Procurement’s Managed Print Solutions framework.

Question seven: What department is managing the contract and who is the decision-maker?

Scottish Government response to Question seven: The ongoing management of the procurement of printing facilities is a matter for Community Justice Scotland and Ricoh. For Community Justice Scotland the decision maker would ultimately be its Chief Executive.
